Is It Time To Upgrade Your Business? You May Want to Google It!

Do you own a business and use a .gmail, .yahoo, .hotmail, etc. account as your email service provider? Chances are you may already be using Gmail, Google Calendar, and Google Drive on your personal account. Although it’s free to use the Google applications free with a GMail account. To integrate with your business, you may want to take a look at upgrading to Google Workspace (formerly GSuite).
Google Workspace is a full suite of intuitive apps with AI that allows you to collaborate, connect and keep-up-to-date with team members and clients all in one location. It’s all the tools you love, only connected in a way that allows you more ease in running your business. But, why upgrade?

But, Why Upgrade?

  • Domain-Branded Email allows you to have all the functionality you are used to with your personal GMail, but, using your domain. You bring your own domain (or buy a domain through them) and that domain is going to be hooked up to your email inbox. How professional you will look!

You don’t actually don’t need to have a website, either. You just need a registered domain. You pay for each user inbox but you can have up to 30 “aliases” under the same domain AND they all are directed to the same email inbox for continuity and control of where you have to go to check email. For example, your Google Workspace account is under the domain yourdomain.com and the main user is name@yourdomain.com. You can then have additional email aliases such as hello@yourdomain.com, support@yourdomain.com, etc. You get the idea. It also takes your business up a notch and looks professional.

Just as an FYI. I upgraded to the next Business level, which is $12 USD per month. However, it allows unlimited storage. If you do a lot of collaborating, having unlimited storage can be a time saver. Plus, it avoids the “you’re getting close to your maximum storage capacity and need to upgrade” message.

  • You also have control over your email address and where it is housed. How many of you have done this before? You create an email box using a web hosting service and decide to switch providers. What happens to that email? You don’t own the email address and can’t take it with you. It can be challenging to switch the account to another provider or Google Workspace without jumping through hoops.


  • Search is golden with Google Workspace and the AI is very intuitive. For example, it picks up on your language in Gmail Smart Compose and completes your sentences based on how you’ve written before (we’ll go into tips and tricks for Gmail in another article). You can search so many different basic and advanced ways and it works across all the Google platforms. If you use keywords when naming files, you will be amazed at what you can find. It’s great! It also saves you from needing to create folders within folders within folders - stops the scroll!

  • Google Workspace integrates with many third-party platforms like project management (ClickUp, Asana, etc.), CRM tools like Dubsado and Honeybook and so many more, with one click, making it easy and versatile for you and your business. You got an instant productivity boost! Google Workspace also works on any internet browser, although Google Chrome provides the best experience. That means you can synchronize across all devices including laptops, tables, and mobile phones.

As a mention of cost, a couple of things to keep in mind are that Google Workspace includes a whole suite of apps so you don’t have to worry about paying separately for Office Suite and renewing each year in addition to needing a separate cloud storage service provider (unless you want an extra backup or use Google Workspace for shared collaborative purposes only.

Gmail - We’ve talked about this at the beginning of this article.Google Calendar - This allows you to create multiple calendars including business, personal, team meetings, etc.

Google Drive - You can store, access, and share files with many or as few people as you need. The search function! Eeeks! I can’t say enough about this! It’s sooo intuitive.

Google Docs and Google Sheets - This allows you to create and edit documents and spreadsheets in your browser. You can also edit and export into other file formats including Word, Excel, pdf, etc. Oh and Google Docs and Sheets don’t count toward your storage limit! They also feature “real-time” commenting.

Google Keep - This is a great tool that may not get talked about. It can be an easy way to keep those frequently asked questions you get in one convenient place. Create to-do lists, notes, and set reminders to stay on track. Everything also syncs across your devices and you can easily with your team and archive them when you’re done. Oh and as stated before, the search is superb with this as well!

Admin Console - This allows you to manage your entire account in one place. You can add users, domains, change settings, update security, you name it with one click.

There are more apps including Google Hangout, Google Meet (like Zoom), Google Forms, Google Slides, Google Sites.G Suite can be a great solution for your business and is pretty affordable and easy to use (in fact, you are most likely familiar with many of the Apps).

You can also switch between business and personal accounts with one click. Are there any disadvantages? Google Workspace is completely web-based. So, if you are used to a full suite like Microsoft Office, you may find Google Docs and Sheets are not as powerful.
